Poczta Polska: Poland Surpasses Three Million Digital Addresses

Poczta Polska now counts 3 million active electronic delivery addresses (ADEs) in Poland—marking another major step toward universal, legally binding digital correspondence for citizens and businesses, and accelerating the phase-out of paper delivery notices.

Digital correspondence paths: structured process and confirmations

The e-Delivery system enables electronic communication with public entities, with system confirmations and a structured correspondence path. The e-Registered system addresses the need for secure communication between businesses and individuals, where proof of shipment and receipt is important.

“What’s very positive for me personally is that almost half of the digital delivery addresses already in operation—and we have over 3 million of them—are set up by citizens. This confirms that we want this type of correspondence and have been waiting to send registered mail in digital format, not analogue, and that we appreciate this convenience, ” says Kinga Dobrzyń, director of the Office of Analysis and Digitization of Processes at Poczta Polska.

The scale is growing: 56 million digital and hybrid shipments

The latest data shows that over 56 million parcels have already been processed through the electronic delivery system. The system operates fully digitally or in a hybrid format, when the recipient does not yet have a mailbox. Over 20 million are fully digital, while 35.8 million are hybrid shipments, addressed to recipients who do not yet have an ADE mailbox. In such cases, Poczta Polska prints the correspondence in secure centers and delivers it traditionally.

Digital business correspondence: saving time and keeping your documents organized

This functionality has already been noticed by approximately 1.5 million entrepreneurs who – via ADE – can now send digital registered letters.

From the perspective of a business customer, there are three key advantages of e-Registered mail over regular registered mail:

  • evidence and formal confirmations – e-Registered as a registered electronic delivery ensures immediate confirmation: who sent and when the shipment was sent and received – which can constitute evidence, e.g. in a dispute;
  • faster circulation and lower costs – digital sending speeds up document circulation and reduces operating costs (printing, enveloping, archiving);
  • greater certainty in formal matters – an orderly delivery path and confirmations of sending and receipt reduce the risk of misunderstandings and disputes about the effectiveness of delivery.

The increase in the number of active ADE mailboxes and the volume of mail handled demonstrate that digital correspondence is becoming an everyday tool for formal matters. This means more convenient correspondence management for citizens, and faster document circulation and greater process predictability for businesses. Poczta Polska is developing solutions to support the transition to digital communication, ensuring continuity of service even for recipients without an active mailbox.
